45 questions · All FAQ topics

What file formats do you accept for artwork?

Vector files — .AI, .EPS, or vector .PDF — are ideal because they scale to any size cleanly. We also accept high-resolution .PNG, .JPG, .TIFF, and .PSD files. Our artwork guidelines cover every accepted format in detail. If your file is not print-ready, our in-house art team will convert or rebuild it as part of your free digital proof. Not sure what you have? Just send it to us and we will check.

What is vector art?

Vector art is built from mathematical paths instead of pixels, so it scales to any size with perfectly crisp edges. It is the gold standard for decoration because the same file prints flawlessly on a pen barrel or a banner. If you only have a pixel-based logo, our art team can vectorize it, typically free for standard logos.

How can I tell if my logo file is vector?

Open it and zoom in: vector art stays sharp at any zoom, while raster art gets blurry or blocky. File type is a clue (.AI, .EPS, and .SVG are usually vector) but not proof — a JPG pasted into a PDF is still raster. Unsure? Send us the file and we will tell you exactly what you have.

What's the difference between vector and raster images?

Raster images (JPG, PNG) are grids of pixels with fixed resolution, while vectors are scalable paths. Raster works for full-color digital printing at high resolution; vector is required or preferred for screen printing, engraving, and most spot-color methods. We can convert raster logos to vector for free on standard artwork.

What resolution do raster images need to be?

At least 300 DPI at the actual printed size is the safe standard, and some processes accept a 150 DPI minimum, as detailed in our artwork guidelines. A logo grabbed from your website at 72 DPI will look fine on screen but print fuzzy — send the biggest original you have. If it is too small, our art team can redraw it in vector so the final imprint stays sharp.

Can I just send the logo from my website?

You can send it, and we will tell you honestly whether it is usable. Web logos are usually 72 DPI and too small for clean printing, but our artists can often redraw them in vector format so your final imprint is sharp. Email it to our art team or attach it during checkout and we will review the quality for free.

What if I only have my logo as a JPG or PNG?

Send it anyway. High-resolution JPG and PNG files often work for digital printing, and for other methods our team will vectorize your logo — typically free for standard logos — so it is production-ready and saved on file for future orders. Need a logo built from scratch instead? See our logo design help.

Do you charge to fix or convert my artwork?

Standard cleanup, format conversion, and simple vectorization are included free with your order. Extremely complex illustrations or hand-drawn art requiring full redraws may carry a quoted art fee — we will always tell you before any charge applies. See our setup fees and charges for details on when art fees come up.

What does "convert text to outlines" mean and why does it matter?

Outlining converts editable fonts into fixed vector shapes, so your design renders identically even if we do not own your font. In Illustrator: select text, then Type, then Create Outlines. If you cannot do this, send the font name and we will match it. Need a font built into a fresh logo? See our logo design help.

Where do I send my artwork?

Upload it during checkout, reply to your order confirmation email with the file attached, or email it to info@promotionalproductinc.com with your order number. Any route lands it with the art team assigned to your order. Have questions first? Reach out to us and we will point you to the easiest path.

What's the maximum file size I can upload?

Checkout uploads accept most standard logo files comfortably. For very large files like oversized PDFs or layered PSDs, email us and we will provide a transfer link — never compress your art into a low-quality file just to make it fit. Send info@promotionalproductinc.com a note and we will set up the upload.

Can I send multiple logos or versions for one order?

Yes. Send all versions and tell us which goes where — for example, a full-color logo on the front and a one-color mark on the sleeve. Each distinct design per location is decorated and proofed separately so there is no ambiguity. Email the files with placement notes and our art team handles the rest.

What is an imprint area?

The imprint area is the maximum printable space on a product, listed in inches on every product page. Your design is sized to fit within it, and art that exceeds the area must be scaled down or relocated. Browse any product in all products to see its imprint area, or ask us which products fit your logo best.

Should I design my artwork at the imprint area size?

Ideally yes — building art to the exact imprint dimensions avoids stretching or awkward cropping. If you cannot, send your largest file and our team will scale and position it correctly, shown on your free proof. We can also supply a template sized to the product so you design in-house with confidence.

Why does my logo look different sizes on different products?

Each product has its own imprint area, so the same logo prints 3" wide on a tote but only 1.5" on a pen. Your proof shows true-to-scale placement per item so you can judge legibility before approving. Compare imprint areas across pens and other items in all products to find the best fit.

What happens if my artwork is too detailed for the product?

Fine lines, tiny text, and gradients can clog or vanish at small sizes, so we will flag the risk and recommend simplifications — thicker strokes, larger text, fewer colors — or suggest a product or method that holds the detail. Our art team makes these adjustments and shows them on your proof.

Is there a minimum text size for printing?

As a rule of thumb, keep text at least 6–8 points (about 0.08–0.11" tall) for printing and 0.25" for embroidery. Below that, characters fill in or break apart. Our proofers will warn you if your text is at risk, so nothing illegible ever reaches production. Ask us if you are unsure about your text size.

Can you print my logo in metallic gold or silver?

Yes, metallic inks and foils are available on many products. Metallic screen-print inks approximate metallic shine, while foil stamping delivers a true mirror finish on paper goods, journals, and select items. We will recommend the right route per product — tell us your product and color and we will confirm the best metallic option.

Do you keep my artwork on file?

Yes, permanently. Your finished production art is archived to your account, which makes reorders effortless and lets you apply the same logo to new products without resending files or paying setup again on exact reorders. Just contact us to reorder and we will pull your art straight from file.

Can I use a photo I took for my product design?

Yes, if it is high resolution (300 DPI at print size) and you own it. Phone photos usually qualify for full-color products like mousepads, mugs, and puzzles. We will verify quality on your free proof before production. Send the photo and we will confirm it is sharp enough.

Can I use clipart or images I found on Google?

Only if you have rights to them. Most images online are copyrighted, and you warrant that you are authorized to use any artwork you submit. We can use found images as inspiration to create original, legally safe art for you — our art team can design something custom you fully own.

Can you print trademarked or licensed logos (sports teams, universities, characters)?

Only with authorization. If you are an authorized licensee or have written permission, provide it with your order. For collegiate marks, ask us about licensed programs. We cannot reproduce third-party trademarks without documented rights. Contact us to confirm what documentation we need for your specific marks.

What is a typeset?

A typeset is text-only artwork — your company name, phone, or tagline — that we lay out in clean fonts when you do not have a logo. Typesetting is free; just tell us the wording and any font preference. Want a true logo instead of plain text? Explore our logo design help.

Can you match a specific font?

Usually yes. Tell us the font name and we will use or closely match it; if it is a licensed font we do not carry, send your text converted to outlines or we will propose near-identical alternatives on your proof. Our art team handles font matching as part of standard proofing.

Can I add an extra line of text under my logo?

Yes — adding a website, phone number, or tagline is free typesetting. Keep added text short enough to stay legible at the product imprint size; we will set it and show placement on your free proof. Tell us the wording and we will lay it out cleanly under your logo.

What's the difference between CMYK, RGB, and PMS color modes?

RGB is for screens, CMYK for full-color process printing, and PMS (Pantone) for exact spot-color inks. Send PMS codes whenever brand-color accuracy matters; we convert RGB or CMYK art to the right mode for your chosen method. See our artwork guidelines for the color modes each method needs. Color matching is most precise on spot-color jobs like screen printing.

My logo has a background — can you remove it?

Yes, background removal is part of standard art prep. For best results send a PNG with transparency or a vector file; otherwise our artists will isolate your mark cleanly before proofing. Send your file and our art team will knock out the background for free on standard logos.

Can you reverse my logo to a single color?

Yes. One-color conversions — all-white or all-black versions, for example — are routine and free. Multi-color logos often need a one-color variant for budget-friendly screen printing; we will create it and show you before production. Just note your preferred single color when you send the art.

What is "distressed" or "halftone" artwork and can you print it?

Distressed art uses texture and halftone dots to simulate a vintage look. Screen printing handles it well when the dot pattern is coarse enough; we will review your file and adjust dot size so the texture survives production. Send us the file and we will confirm it will reproduce cleanly on your product.

Can I see exactly where my logo will be placed?

Yes — your free digital proof shows your art positioned at scale on the actual product, with dimensions noted. If you want it moved, resized, or rotated, request changes; revisions are unlimited and free. You always see and approve exact placement before anything goes to production.

Can different units in the same order have different names on them?

Yes — that is personalization, also called variable data. Names, titles, or numbers can be added per piece on many products like drinkware, pens, awards, and apparel, usually for a small per-piece fee. Send a spreadsheet and we will handle the rest, then proof a sample for your approval.

What are artwork templates and do you provide them?

Templates are pre-sized files matching a product exact imprint area, with safe margins marked. We provide them on request for customers who want to design in-house, and they eliminate sizing surprises. Ask us for the template that matches your chosen product and we will send it over.

What is bleed and do my designs need it?

Bleed is art extending past the trim edge so full-coverage designs have no white slivers after cutting. It applies to printed flat goods like stickers and labels, banners, and cards. If your design runs edge-to-edge, add 1/8" bleed or ask us for our template so the file is set up correctly.

Do you proofread the text in my artwork?

We review art for production issues and will flag obvious typos we notice, but final responsibility for spelling, phone numbers, and URLs is yours at proof approval. Read every character on your proof — what you approve is what prints. When in doubt, reach out before you sign off.

Can I supply separate artwork for each color of product I ordered?

Yes. If you are printing white ink on black bottles and black ink on white bottles, say so and we will prep both versions. An ink or plate change fee may apply between product colors, itemized on your order. See setup fees and charges for how those changes are billed, or ask us for a quote.

What does "art that exceeds factory standards" mean if I'm charged a prep fee?

It means the submitted file cannot be produced as-is — too low resolution, un-outlined fonts, or excessive complexity for the method — and requires manual rebuilding beyond normal prep. We quote any such fee for approval before doing the work. See setup fees and charges for how art prep fees are handled.

Do you support QR codes in artwork?

Yes, and they are popular. Send your QR as vector or high-res PNG, keep it at least 0.75" square for reliable scanning, and we will test-scan it on the proof stage. Dark code on a light background scans best. Send your QR code and we will make sure it scans cleanly on your product.

Can my imprint include emojis or special characters?

Yes, provided they exist in the chosen font or are supplied as artwork. For decoration methods with fine-detail limits, very intricate emoji may simplify — your proof shows the exact rendering. Send the characters you want and we will confirm they reproduce well on your product.

Is my artwork kept confidential?

Yes. Your files are used solely to produce your orders. We do not sell, share, or reuse customer artwork, and unreleased designs like new logos or product launches are handled with discretion — just tell us if an order is embargoed. Reach out with any confidentiality requirements and we will accommodate them.
