30 questions · All FAQ topics
How long does it take to make promotional products?
Standard production runs 7–10 business days after you approve your digital proof, plus shipping transit. Simple items like pens often run faster, while embroidered apparel and full-color products may use the full window. Rush production in 3–5 business days is available on many items, and you can contact us to confirm timing for your exact product.
When does my production time officially start?
Production begins the business day after we receive both your approved artwork proof and confirmed payment — not the day you place the order. The fastest way to stay on schedule is to review and approve your free digital proof as soon as it arrives. Questions about your timeline? Contact our team.
Do production times include shipping?
No. Production time covers decorating and quality-checking your items at the factory; shipping transit is added on top, typically 1–5 business days for ground delivery within the continental U.S. Always add both together when planning toward an event date, or contact us for a total timeline.
What does "business days" mean for turnaround?
Business days are Monday through Friday, excluding U.S. federal holidays. A 7–10 business day production window therefore spans roughly 1.5 to 2 calendar weeks. Weekends and holidays don't count toward production or standard ground shipping, so order earlier around holiday seasons.
Which promotional products have the fastest turnaround?
Pens, stress balls, koozies, tote bags, and one-color screen-printed items are typically fastest, with many available on 24-hour to 3-day rush production. Items requiring embroidery digitizing, full-color printing, or overseas sourcing take longer. Browse fast-turn favorites like pens and stress balls.
Why do some products take longer to produce than others?
Turnaround depends on decoration method, imprint colors and locations, order quantity, and factory capacity. Embroidery requires one-time digitizing; multi-color screen printing needs a separate screen per color; and laser engraving large metal runs simply takes machine time. Peak seasons also extend queues. Contact us for your product's exact window.
Can I find out the exact production time before I order?
Yes. Every product page lists the standard production window, and our team can confirm current factory turnaround for your exact quantity and imprint before you commit. Call 1-888-212-5501 or request a quote and we'll verify real-time availability and timing.
What is an "in-hands date" and should I provide one?
Your in-hands date is the day you actually need products delivered — for an event, trade show, or campaign launch. Always share it when ordering. We work backward from that date to choose the right production speed and shipping method, and we guarantee in-hands dates on qualifying rush orders. Tell us your date.
How far in advance should I order for an event?
For standard orders, allow 2–3 weeks before your event to cover proofing, production, and ground shipping. For embroidered apparel, large quantities, or Q4 holiday gifts, 3–4 weeks is safer. Inside that window? Ask about rush production — we deliver guaranteed in-hands dates in as little as 3–5 business days on many items.
What happens if I delay approving my proof?
Your production clock pauses until you approve. Each day of proof delay typically pushes delivery back a day, and during busy seasons a delayed approval can drop your order into a later queue. If your event date is tight, approve promptly or call us to discuss rush options.
Do reorders ship faster than first orders?
Often, yes. Because your artwork, screens, embroidery files, and proofs are already on file, reorders skip the setup and proofing stages and can move straight into production. Setup fees are also waived on exact reorders at Promotional Product Inc. Contact us to place a reorder.
Can production be expedited after I've already placed an order?
Frequently, yes — if production hasn't started or is in early stages. Contact us immediately at 1-888-212-5501 with your order number and new deadline. We'll check factory capacity and quote any rush fee or expedited freight needed to hit your date. Reach us here.
What are typical production times by decoration method?
As a rule of thumb: pad printing and one-color screen printing run 5–7 business days; multi-color screen printing 7–10 days; embroidery 7–10 days (plus 1–2 for first-time digitizing); laser engraving 7–10 days; full-color digital/UV printing 7–10 days; and sublimation 10–12 days. Rush service compresses most to 3–5 days.
Does ordering a larger quantity increase production time?
Sometimes. Most factories quote the same window for 100 or 1,000 pieces, but very large runs (5,000+) of decorated items may add a few days of machine time. We'll confirm exact timing for bulk quantities when you request your quote.
Are turnaround times longer during the holidays?
Yes. October through mid-December is peak season industry-wide, and factory queues lengthen. We recommend placing holiday gift orders by early November for standard production, or asking about rush options if you're shopping later. The same applies to spring trade-show season (February–April). Plan with us.
What is 24-hour rush production?
Select items — typically pens, drinkware, totes, and stress relievers with a one-color imprint — can be decorated and shipped within one business day of proof approval. 24-hour rush usually requires vector artwork, a single imprint location, and order placement by the factory's daily cutoff. Ask us which products qualify.
Do blank (undecorated) products ship faster?
Yes. Blank goods skip decoration entirely and typically ship within 1–2 business days. This is a smart option when you need apparel or drinkware immediately, or when you plan to decorate locally. Contact us for blank availability.
Will I be notified when my order enters production?
Yes. You'll receive confirmation when your proof is approved and your order moves into production, followed by a shipping notification with tracking the moment it leaves the facility. You can also contact us anytime for a status update.
Can you guarantee my delivery date?
On qualifying rush orders, yes — Promotional Product Inc. guarantees your in-hands date, and if we miss it, your rush fee is refunded. On standard orders we provide reliable estimated dates and proactively flag any factory delays so you're never surprised. Ask about your order.
What could delay my order?
The most common delays are late proof approval, artwork that needs rework, payment holds, product backorders, and carrier transit issues like weather. We monitor every order and contact you immediately if anything threatens your timeline, along with options to recover the date.
What happens if the product I ordered goes on backorder?
We'll notify you right away with the restock date and comparable in-stock alternatives at the same or better price. If you're on deadline, we'll help you switch to an available substitute so your event date is protected. Browse alternatives or contact us.
Do you offer split production for part of my order sooner?
In many cases, yes. If you need 200 pieces for an event next week and the remaining 800 later, we can often rush the first batch and run the balance on standard production. Additional freight or rush fees may apply to the expedited portion — ask your rep.
How do overseas-produced items affect turnaround?
Direct-import programs offer the lowest per-piece pricing but require 60–90+ days for production and ocean freight. They're ideal for large planned campaigns (10,000+ units). For anything inside a two-month window, domestic-decorated inventory is the right choice. Contact us to compare options.
What time of day should I approve my proof to start production same day?
Approve before the factory's cutoff — typically 12:00–2:00 PM Eastern — and most facilities count that as day zero, starting production the same or next business day. Approvals received late in the day generally start the clock the following business day. See proofs & approval for details.
Can I see real-time order status online?
Yes. Log into your Promotional Product Inc. account to view order status, proof history, tracking numbers, and reorder past purchases. Prefer a human update? Call 1-888-212-5501 or email info@promotionalproductinc.com and we'll check with the factory directly.
Does a multi-location imprint add production time?
Usually 1–3 additional business days, since each location is a separate decorating pass. A front-and-back shirt print or a two-sided bag imprint takes longer than a single location. Tell us your deadline and we'll confirm whether multi-location decoration still fits. Contact us to verify.
How long does a pre-production sample add to my timeline?
A pre-production (spec) sample typically adds 5–10 business days before the main run begins, because the factory produces and ships one finished piece for your approval first. It's worth it for large or high-stakes orders; for routine reorders, the free digital proof is usually sufficient. Ask about samples.
Are turnaround times different for Canada-bound orders?
Production time is identical; only shipping differs. Add 3–7 business days for cross-border transit and customs clearance on top of the standard production window, and note that duties/taxes may apply on delivery. Contact us for cross-border timing.
What's the single best way to ensure on-time delivery?
Give us your true in-hands date at the time of order, submit vector artwork, and approve your proof the same day you receive it. Those three habits eliminate the vast majority of timeline risk — and our team handles the rest. Start your order.
Do you ever finish orders earlier than quoted?
Often. Quoted windows are conservative, and many orders ship a day or two early — especially simple imprints approved quickly. We never hold finished goods; the moment your order passes quality check, it ships. Contact us if you need it sooner.
