What is a digital visual proof?

A digital visual proof is a digital representation of how a design, logo, or artwork will appear on a product before it goes into production. It serves as a preview to ensure that the design meets your expectations in terms of placement, size, color, and overall appearance. By reviewing and approving a digital visual proof, you can minimize errors, ensure branding consistency, and feel confident that the final product will match your expectations.

How long does it take to create a digital visual proof?

Dgital Visual Proofs typically require 24 to 72 business hours to be created and then emailed to you for your approval.

How can I approve a digital visual proof?

To approve your digital visual proof, simply reply to the email containing the proof. Be sure to include your approval and signature in your response.


What do I look for in a digital visual proof?

Customers must thoroughly examine all aspects of the visual proof, including artwork placement, product colors, imprint colors, text, and dimensions.

Please note that the visual proof serves as a representation for approval of logo placement, imprint size, and layout. Final colors and materials may vary slightly due to printing processes and material differences.

Monitor displays may not accurately reflect colors, especially metallic inks or Pantone Matching System (PMS) colors. Refer to a Pantone Color Book for accurate color representation.

Variations such as imprint alignment (up to 3/16”), laser engraving tones, or 4-color process printing discrepancies are normal and not considered defects.

When reviewing your visual proof, please ensure that the chosen item color and imprint colors meet your expectations. PPI is not responsible for logo visibility issues once the order is delivered.

Can I make changes on a digital visual proof?

During the visual proof process, you have the flexibility to make any desired changes to the proof. However, once the visual proof has been approved, the order will proceed into production exactly as approved on the visual proof, and no further changes can be made at that point. 

It is the customer's responsibility to carefully review all details in the visual proof and proof email, including any comments or notes from the art department. The product color is selected at the customer's discretion. The imprint colors available are based on our standard stock options, and these will be noted in your visual proof. If a custom PMS color is required, the customer must provide the appropriate PMS code. PPI will only proceed with the details noted in the visual proof once it has been approved by the customer. PPI is not responsible if the imprint colors are not clearly visible or legible due to the chosen product color. 

Is there a deadline on a digital visual proof?

Yes, there is a deadline for approval once the visual proof has been sent to you. The deadline will be clearly indicated in the visual proof email you receive. This deadline date helps guide the ordering process to ensure that your products are delivered on time.

If the visual proof approval deadline has passed, and we have not received your approval, we will make three additional attempts to email you as reminders for approval. In addition, if a phone number is provided, we will attempt to reach you a minimum of two times. Your order will remain on hold until customer's response is received. 




Can I receive a digital visual proof on a rush order?

Yes, you can request a visual proof for a rush order, however, there is no guarantee if the production timeline will allow it. It’s important to be aware that this process may cause a delay in the order and our ability to meet your requested in-hand date. Visual proofs typically take 24-72 working hours to be completed. In certain situations, we may need to consider skipping the visual proof process, and we will provide guidance if this option is necessary. For rush orders, we recommend not opting for a visual proof to avoid any potential delays in the process.

What is a pre-production sample?

A pre-production sample is a tangible representation of the product you intend to order, complete with your custom artwork printed on it. The cost for a pre-production sample is $150 plus setup charges & shipping. If you approve the sample and proceed with the order, the cost of the pre-production sample & setup charges will be credited to your order. Shipping fees are not credited. 

If you decide not to move forward, the cost of the pre-production sample, setup fees & shipping are non-refundable. 

Please note that requesting a pre-production sample may cause delays in the production schedule, and not all products are eligible for this service.
